Privacy Policy

Arriva Trains Wales recognises its responsibilities with regard to the integrity and security of Personal Data and information collected during the recruitment process in accordance with the Data Protection Act 1998 (as amended) (the "Data Protection Legislation").

By completeing your profile and/or submitting an application it will be assumed that you accept these Terms of Use ("Terms").

What data will we collect about you and why?
By accepting these Terms and consenting below, you agree that the information contained in your application and any other personal information obtained about you during the recruitment process ("Personal Data"), which may include Sensitive Personal Data (as defined in the Data Protection Act 1998), may be used by Arriva Trains Wales and its affiliates for any purpose regarding your application. These purposes will include: recruitment activities related to this (or any future) vacancy; management and administration requirements; if you are offered a role with us we are permitted to use information collected during the recruitment process for the purpose of making the offer and to manage your on-going employment with us; and for compliance with any procedures, laws and regulations to which Arriva Trains Wales is subject.

If you are offered a role with us then we will also undertake pre-employment checks, which may include, but not be limited to, checking your credit history, criminal records checks, address, academic qualifications and employer references.

Who else may have access to your data?
We may, for the above-mentioned purposes, transfer some or all of your Personal Data to our occupational health provider who are engaged by us to assist in processing part or all of your application. Our occupational health provider has agreed that any processing of the Personal Data you provide will be in accordance with applicable Data Protection Legislation and solely under the instruction of Arriva Trains Wales. We will not sell or pass on your Personal Data to any organisation other than those involved in the recruitment, selection and employment process, or use them for any other purpose ourselves without your consent.

How secure are our systems?
While no data transmission over the internet is 100 per cent secure, the security of our system is very important to us. We seek to ensure that up-to-date data storage and security techniques are used to protect the transfer and storage of your Personal Data. We will take appropriate measures to avoid unauthorised processing, accidental loss, destruction or damage to your Personal Data. All employees and any third parties we engage to process your information are also obliged to maintain adequate security levels and processes and to respect the confidentiality of your Personal Data.

How long will we hold your data for?
We will retain Personal Data relating to the recruitment process for up to 12 months maximum from the date of the application or any subsequent contact unless local legislation requires otherwise (in which case we will comply with the provisions of local legislation). Should you wish to have your Personal Data removed before 12 months then subject to any local statutory or other requirements we will delete any data held on you at your request. Please make this request in writing by emailing recruitment.jobs@arrivatw.co.uk with "Remove my Details" in the subject title. You may update the information we hold on you at any time.

After this 12 month period your Personal Data relating to the recruitment process will be destroyed, although relevant information will be retained in an anonymous format in the longer term to facilitate our equal opportunities monitoring. If you are offered a role with us then any Personal Data provided during the recruitment process that is required for your ongoing employment with us will be held in accordance with statutory requirements.

What to do if you have a query or complaint
You have the right to request a copy of all data held by us and/or any third parties at any time. This request should be made in writing to the Arriva Trains Wales address below and a small charge may be made for this service. Should you have any other queries or complaints about how your data is processed by us and/or any third parties then please write to the address below.

Arriva Trains Wales may amend these Terms at any time. Any substantial change in how Arriva Trains Wales processes Personal Data will be notified via an announcement on our recruitment website.
